Frequently asked questions

Costs, turnaround, deliverables, and coverage — straight answers for contractors deciding whether to outsource their takeoffs.

Getting started

The basics of working with Apex Accuracy Estimating Inc.

What does Apex Accuracy Estimating do?

We prepare itemized construction quantity takeoffs and bid estimates for contractors, subcontractors, builders, and developers across New Jersey. Send us your plans and we return CSI MasterFormat-formatted sheets with labor, materials, and equipment — typically within 24 to 48 hours.

Who do you work with?

General contractors, specialty trade contractors, developers, builders, property managers, and owners bidding work in New Jersey. Most clients are electrical, HVAC, concrete, plumbing, fire protection, and general trades firms bidding commercial, multifamily, industrial, and institutional projects.

How do I get started?

Upload your plans on the free quote page or call (862) 366-7732. We review the drawings, confirm scope and turnaround, and send a fixed quote before any work begins. No account setup or software required.

What project types do you estimate?

Commercial shell and fit-out, multifamily and residential, industrial and warehouse, institutional and healthcare, municipal, hospitality, retail, solar, and site work. If it is in CSI MasterFormat, we can take it off.

Do you handle rush or bid-day work?

Yes. Standard turnaround is 24 to 48 hours; rush 24-hour delivery is available for most trades. If your bid is due tomorrow, call us — we hold capacity for same-day starts.

Pricing & turnaround

How estimates are priced and how fast they ship.

How much does a construction estimate cost in New Jersey?

Estimates are priced per project based on square footage, trade count, and drawing completeness — there is no fixed rate card. Upload your plans and every quote is fixed and itemized before we start.

What affects the price of an estimate?

Square footage, number of trades, drawing completeness, building type, and delivery speed. A single-trade electrical takeoff on a tenant fit-out costs far less than a full multi-trade package on a high-rise. Upload your plans and we price the actual scope, not a generic rate.

How fast will I receive my estimate?

Most projects are delivered in 24 to 48 hours from the time we receive complete drawings. Larger multi-trade packages may take 48 to 72 hours. Rush 24-hour delivery is available; the turnaround is confirmed in your quote.

Do you charge by the hour or by the project?

By the project. You get one fixed price for the defined scope — no hourly surprises. If scope changes (add drawings, add trades), we re-quote before continuing.

Is there a minimum project size?

No hard minimum. Small residential and specialty scopes are common. If a project is too small to be worth a professional takeoff, we will tell you honestly on the quote call.

Deliverables & process

What lands in your inbox and how the work runs.

What format do you deliver estimates in?

CSI MasterFormat-divided sheets in Excel, organized by division and trade with unit prices, labor, materials, equipment, and quantities. PDF summaries are available on request. Files are structured for direct import into your bidding workflow.

What do you need from me to start?

Plans (PDF preferred), specifications if available, bid date, and any scope exclusions or union/open-shop requirements. Incomplete drawing sets can still be started — we flag missing sheets so you know what affects the number.

How do revisions work?

Revisions to the original scope (clarifications, drawing addenda) are included. New trades, major scope changes, or re-bids after significant revisions are re-quoted at a reduced rate for returning clients.

Do you provide bid-day support?

Yes. Clarification questions, addendum pricing, and scope walk-throughs with your estimators or PMs are part of the service through your bid date at no extra charge.

Can you match my historical crew rates?

Yes. If you have production rates or unit costs from past bids, we build the estimate on your numbers. Most contractors send a sample prior bid so our labor and crew assumptions match how they actually build.

Coverage & local knowledge

Where we work and what we know about New Jersey conditions.

Which areas of New Jersey do you cover?

All 21 counties and every municipality. We maintain local estimating guides for 21 counties and 44 cities, with county-specific labor rates, permit notes, and cost drivers so your number is priced for the actual job location.

Why does local pricing matter?

Union vs open-shop spreads, prevailing wage exposure, haul distances for materials, and municipal permit processes vary widely from Bergen to Cape May. A national average rate can miss a bid by 15 to 20 percent. Every sheet we send is priced for your county.

Do you work on prevailing wage or public bids?

Yes. Public work, prevailing wage, and union project estimating are core services. We apply the correct wage packages and fringe rates for the classification and county involved.

Can you estimate out-of-state projects?

Our focus and deepest rate data is New Jersey, but we regularly estimate work for NJ-based contractors with projects in eastern Pennsylvania and the New York metro. Out-of-state scopes are quoted case by case.

What should a contractor do the night before bid day?

The night before, lock your subcontractor coverage, print or export your quantity backup, and write a one-page scope gap list. Do not start new takeoffs after 6 p.m. — late-night additions introduce errors you cannot catch before the deadline.

How do contractors typically price a change order?

Most contractors price change orders by summing direct material cost, incremental labor hours times an loaded labor rate, equipment and subcontractor adders, then applying the same markup structure used on the original contract.
